Airwaves are a UK-wide facilities management company that have grown rapidly over recent years. The internal process holding them together, receiving jobs by email, manually entering them into a third-party system, and chasing clients for missing information, had become the main constraint on further growth. I built the AI agent that removed it.
Every inbound job arrived by email and had to be manually keyed into their job management system. Information was frequently missing, meaning engineers would arrive on site without what they needed, triggering back-and-forth with clients mid-job. The administrative burden was significant, error-prone, and scaling badly as the company grew.
I built an AI agent that sits at the front of the inbound job process. It reads every incoming job email, extracts the relevant information, and creates the job record automatically. If anything required is missing, the agent contacts the client directly to request it before the job is marked as ready, so engineers always have what they need before they leave.
Job intake is now fully automated. Administrative staff no longer spend their day on data entry and are free to handle client work that genuinely needs a human touch. Jobs reach engineers faster, and a 98% reduction in on-site information requests means fewer delays, fewer frustrated clients, and fewer wasted journeys.
